Welcome

Thank you for being part of the LLE Team providing event and creative styling for the wedding of Amanda & Elliott at the Mezzatorre Hotel in Ischia, Italy.

We are committed to ensuring the health, safety and welfare, so far as reasonably practicable, of all LLE Staff persons (Employees and freelancers) working at both event sites and affected by work activities

All employees and freelancers have a legal responsibility to co-operate with the LLE Senior Producer and hotel's Event Production Team to take reasonable care of themselves and others in order to assist us to maintain a healthy and safe workplace.

Working Safely

Site Safety is a team effort and it is not the responsibility of one person alone.

You will be required to sign as having read and understood this briefing – if in doubt ASK.

Welfare

There are welfare facilities within the venue available to all event staff, contractors and local crew; these include:

• Toilet facilities

• Handwash / hand sanitiser stations

• Undercover and dry rest areas

• Access to drinking water

• Crew catering

Please take measures to look after your own and your LLE colleagues welfare whilst on site.

EXTREME HEAT - where possible, do not work in direct sun between 11-3pm.
Take regular breaks in the shade. If you feel sick or faint, stop work immediately and seek medical attention.
Keep hydrated – drink plenty of water; please use re-useable water bottles to avoid single use plastic.
Ensure you dress for the weather – wear a hat and use plenty of sun cream in sunny weather; wet weather clothing in the rain, etc

Smoking & Vaping

Smoking and/or vaping are ONLY permitted in designated areas.

Drugs & Alcohol

We have have a ZERO tolerance of drugs and/or alcohol whilst working on site.

Mobile Phones & Personal Music Devices

When working on site please do NOT wear earbuds with music or phone connected – your attention will be elsewhere and you put yourself and others in danger.

If you need to use a mobile phone, move away from the work area and remain static so you can see what is going on around you and you can be seen. Do not use your mobile phone while driving plant or a vehicle.

PPE

When working in loading /off-loading areas and around moving vehicles/plant

Suitable footwear for the task; MUST be closed toe. NO open toed sandals/flipflops

As required in any areas where working at height is being undertaken/temporary structures are being built

Working Areas

All significant work operations should be undertaken in a secured work area, clear of non-essential personnel.
When working with other suppliers – ensure agreement is reached over access to different working areas and always keep access routes clear.
Clean as you go – ensure good housekeeping to avoid unnecessary trip/fire hazards – don’t expect someone to clean up after you.
If you see any trip hazards, unsafe areas - TELL the Senior LLE Producer and/or the venue event manager.

Moving Vehicles & Trucks

Beware of vehicle movement onsite and always remain visible to the operator/driver.
Wear a hi-vis when working around vehicles/lorries so that you are visible to the driver.
Always give way to the driver – they may not be able to see you!

Working at Height - Ladders

Ladders should only be used for short term work - (15 – 30min) tasks.
Ensure a ladder is the correct piece of access equipment for your job by considering the time frame and reach needed – never work outside of your reach when using a ladder.
Always check for defaults, all ladders in use should be properly maintained.
Never stand above the second from top rung, or have a foot either side of the apex. Always face into the ladder, three points of contact and two feet on the ladder at all times.
Only one person should work on a ladder at a time, a second person to foot the ladder for you.

Fire Safety

Familiarise yourself with the exits around each event area being used within the hotel and the Fire Fighting Equipment available.
Keep fire exits clear at all times. DO NOT block any hotel access points and keep paths, roadways and pedestrian routes clear at all times.
Do not attempt to fight the fire yourself, fire extinguishers should only be used to aid escape.
If you hear the fire alarm – leave by the nearest exit.
If you SEE a fire – activate the fire alarm and/or alert your colleagues / guests and evacuate the area immediately.

Reporting of Incidents, Near Misses, Dangerous Occurrences etc.

Accident = An unplanned event that causes harm

Near Miss = An unplanned event that could have caused harm

To help us stay safe on-site and learn for the future please report any:

• Accidents

• Incidents

• Near-misses (no matter how trivial it may seem)

• Dangerous occurrences

• Unsafe practices or conditions you have witnessed on-site.

These must be reported to the LLE Senior Producer as soon as it is safely possible to do so.

They will investigate these incidences and may ask you for more details for their report.

First Aid Arrangements

First Aid for LLE staff will be provided by Liz Linkleter Events; the location of first aid kit will be advised to you on arrival to the event site. LLE will also have a designated first aider on duty each day of the event build/the live event.

If you need first aid, please contact the LLE Senior Producer in the first instance.

In an emergency, please call 112 and also liaise with the Mezzatorre Hotel Reception for assistance.

Please ensure all first aid incidents are reported to and recorded by the LLE Senior Producer.

This is 3km / 8-10 minutes by car from Hotel Mezzatorre.

Emergency / Evacuation

If you hear a fire alarm , radio call or loud hailer instructions to evacuate the event - leave the building / event space via the nearest safe exit (following the green signs)

In the event of an emergency please follow the instructions of the hotel event staff.

If a full site evacuation is required, make your way to the designated hotel assembly point and wait there until further instructions.

If you are the first to see an incident or emergency

Raise the alarm to other co-workers/contractors and move to a place of safety.

Call the emergency services on 112 - do not assume someone else will do it.

Contact the LLE Senior Producer immediately

Only re-access the event site when you are told it is safe to do so by venue security

DO NOT:

• Stop to collect personal belongings

• Re-enter the building /event area unless informed it is safe to do so by the hotel / Event Manager/Security.

Security

Please be vigilant as regards to security, not only for personal items such as laptops and personal tools, but also for equipment and client material. If you believe there is likely to be a breach of security please contact the hotel event Manager/security.

Please ensure when exiting the event site at the end of the working day that you leave in pairs to return to your hotel / visit restaurants. Be aware of unlicenced taxi's or being approached / offered a lift by someone you don't know.

Suspect Package - HOT

Hidden

- Has it been concealed or hidden from view?

- Explosive devices are unlikely to be left in locations such as this where any unattended item will be noticed quickly.

Obviously Suspicious

- Does it have wires, circuit boards, batteries, tape or putty like substance?

- Do you think it poses an immediate threat to life?

Typical

- Is the item typical of what you'd expect to find in this location?

- Most lost property is found in locations where people congregate.

Finally...

YOU are responsible for your works/working area, and in particular, ensuring that they do not harm others.

If you are not happy with the actions of others, or how it affects your workspace, raise it with the LLE Senior Producer.

Do not commence work onsite until you have been fully briefed by the LLE Senior Producer.

This ensures we keep you and others safe whilst on the site.
