Thank you for being part of our events to celebrate the wedding of Audrey and Clay at Kensington Palace.

We are committed to ensuring the health, safety and welfare, so far as reasonably practicable, of all persons (including employees, contractors and visitors) working at the event site and affected by work activities.

All employees, contractors and event staff have a legal responsibility to co-operate with managers and to take reasonable care of themselves and others in order to assist us to maintain a healthy and safe workplace.

Working Safely

Site Safety is a team effort and it is not the responsibility of one person alone.

You will be required to sign as having read and understood this briefing – if in doubt ASK.

PPE

Event Venue

Kensington Palace is a royal palace and is currently the official London residence of several royals. Please therefore be respectful of the gardens, orangery and all those who live and work in the palace when working on site.

All vehicles MUST enter the venue via the gate specified in their briefing documents; please follow signs to the LLE event area.

Please ensure that all working areas are kept secure and not accessible by non-event related staff /any visiting public at all times.

Working Areas

All significant work operations should be undertaken in a secured work area, clear of non-essential personnel.
When working with other suppliers – ensure agreement is reached over access to different working areas and always keep access routes clear.
Clean as you go – we expect general good housekeeping from all contractors to avoid unnecessary trip/fire hazards – don’t expect someone to clean up after you.

Smoking & Vaping

Smoking and/or vaping are ONLY permitted in designated areas.

Do not smoke or vape when driving plant / vehicles on the event site.

Personal Music Devices

When working on site please do NOT use earbuds / personal headsets with music or phone connected – your attention will be elsewhere and you put yourself and others in danger.

If you need to use a mobile phone, move away from the work area and remain static so you can see what is going on around you and you can be seen. Do not use your mobile phone while driving plant or a vehicle.

Drugs & Alcohol

We have have a ZERO tolerance of drugs and/or alcohol whilst working on site.

Moving Plant & Vehicles

Beware of vehicle movement onsite and always remain visible to the operator/driver.
All reversing and manoeuvring vehicles should have an approved banks man directing movement and monitoring for any hazards.
DO NOT use hazard lights when moving, use beacons and/or headlights.
Site speed limit is 5 mph. Anyone found to be exceeding the speed limit will be asked to take their vehicle off site and will not be permitted to drive on site for the remainder of the job. This applies to buggies onsite.
PLANT OPERATORS – we will take a photograph of your license for record purposes. Please carry it with you at all times.

Working at Height

Working at Height is a HIGH-RISK work activity – ensure that you are fully aware of the Risk Assessment before Working at Height.
If your job requires you to work at height, you must protect your work space so that it cannot harm others.
Rigging or climbing hats MUST be worn when working at height – chin straps must be clipped.
Hard Hat areas will be installed where required and signed as appropriate.
All access equipment MUST be checked before use and fit for purpose – if in doubt, ASK.

Working at Height - Ladders

Ladders should only be used for short term work - (15 – 30min) tasks.
Ensure a ladder is the correct piece of access equipment for your job by considering the time frame and reach needed – never work outside of your reach when using a ladder.
Always check for defaults, all ladders in use should be properly maintained.
Never stand above the second from top rung, or have a foot either side of the apex. Always face into the ladder, three points of contact and two feet on the ladder at all times.
Only one person should work on a ladder at a time, a second person to foot the ladder for you.
Place the ladder on a firm, stable surface which is of suitable strength to keep the rungs horizontal

Fire Safety

Familiarise yourself with the exits around the event spaces and the Fire Fighting Equipment available.
Keep designated fire exits clear at all times.
DO NOT block any marquee access points and keep back of house areas, paths, roadways and pedestrian routes clear at all times.
Do not attempt to fight the fire yourself, fire extinguishers should only be used to aid escape.

Reporting of Incidents, Near Misses, Dangerous Occurrences etc.

Accident = An unplanned event that causes harm

Near Miss = An unplanned event that could have caused harm

To help us stay safe on-site and learn for the future please report any:

• Accidents

• Incidents

• Near-misses (no matter how trivial it may seem)

• Dangerous occurrences

• Unsafe practices or conditions you have witnessed on-site.

These must be reported to the LLE Senior Producer or the Event Safety Advisor as soon as it is safely possible to do so.

They will investigate these incidences and may ask you for more details for their report.

First Aid Arrangements

The Site First Aid Kit is held at the Production Office located on site (The Clore).

LLE will provide designated first aiders during the build, live event and break periods. All contractors should also have a dedicated First Aider within their team. If you or a colleague need medical assistance, contact your crew lead or the Senior LLE Producer in the first instance who will get assistance more quickly to you.

For medical emergencies call 999 and the Senior LLE Producer as they will need to guide the ambulance onto the site.

Any and all incidents/accidents that take place at the event must be reported to LLE Senior Producer and Event Safety Advisor.

If an accident occurs that results in personal injury or property damage, the service provider must immediately contact the LLE Senior Producer.

Nearest Hospital

The Nearest Hospital with 24 hr Accident and Emergency is:

St Marys' Hospital Paddington - Praed St, London W2 1NY.

This is 1.7 miles / 10-15 minutes from Kensington Palace.

The designated blue route for emergency vehicles is Orme Square Gate off Bayswater Road - W2 4RS.

Welfare

There are welfare facilities on the event site available to all event staff, contractors and local crew; these include:

• Toilet facilities

• Handwash / hand sanitiser stations

• Undercover and dry rest areas

• Access to drinking water

• Crew catering is not provided and the responsibility of each contractor unless already discussed with the senior producer

Please take measures to look after your own, and everyone else's welfare whilst on site.

EXTREME HEAT - where possible, do not work in direct sun between 11-3pm.
Take regular breaks in the shade. If you feel sick or faint, stop work immediately and seek medical attention.
Keep hydrated – drink plenty of water; please use re-useable water bottles to avoid single use plastic.
Ensure you dress for the weather – wear a hat and use plenty of sun cream in sunny weather; wet weather clothing in the rain, etc

Event Site Opening Hours

The event site opening hours for this event build are 8 a.m. – 8 p.m. during build/derig days.

Event site opening hours for the live event day is 8 a.m. – close. Any deviation from these times must be agreed in advance with the LLE Senior Producer.

Site Traffic Rules

Site Speed Limit 5mph.

Observe any one way system or other traffic management system / road signs in place. Always follow the directions of venue security. Please use headlights NOT hazard lights if you do not have a vehicle beacon.

When reversing a banksman must be used.

Parking

If you are authorised to bring a vehicle to the event site, please park as directed by the LLE Production Manager otherwise advised by venue security.

Security & Stewarding

Venue and specific event security will be on-site and we ask that you respect their reasonable requests at all times - e.g. to see accreditation / know who you are and what you are doing.

Personal Protective Equipment

Contractors are responsible for providing their own PPE, as identified in their risk assessments for each task.

Wear task appropriate closed-toe footwear (Sandals, flip flops NOT permitted); when working around vehicles or plant, you must wear your hi-vis jacket.

If working in high level noise areas, please use ear protection as required.

Manual Handling

Please use manual or mechanical aids (trolleys, pump trucks) and plant (fork lifts, access platforms) where available. Ensure there are enough crew around to assist or that the load is reduced to a manageable weight – this may include unloading equipment before moving it.

Personal Welfare

Drinking water is available onsite - make sure you stay hydrated. Take sufficient breaks and make sure you remember to eat regularly. Do not operate any machinery if you are overtired.

Toilets

Toilets are located in the Clore Learning Centre - right end of the Orangery. Please use the handwash/sanitiser facilities installed.

Weather

Take extra care in inclement weather and wear appropriate clothing for the conditions. Use sun cream in hot weather.

Signage

Please take notice of all signage, it is there for your safety.

Alcohol & Drugs

No alcohol should be consumed during the official hours of the event. Liz Linkleter Ltd operate a zero tolerance on the use of illegal drugs. If found using drugs / intoxicated while working you will be asked to stop work immediately and taken off site.

Smoking

Please use the designated smoking area, which will be pointed out on the arrival site induction. This includes vaping.

First Aid

Medical assistance is available via the Production Team. Members of the LLE Production Team are the designated first aiders during the event.

First aid kit can be found in the LLE Production Office.

Please ensure that all accidents/near misses are reported to the Production Office/Event Safety Advisor immediately.

All contractors are required to provide their own first aiders within their team.

Emergency / Evacuation

During Build & Break

In the event of an emergency please follow the instructions of the event security / LLE Senior Producer.

If a full site evacuation is required, make your way to the designated assembly point for the venue - THE DIANA PLAYGROUND behind the Orangery - and wait there until further instructions.

If you are the first to see an incident or emergency, contact the Senior LLE Producer, Event Safety Advisor or Kensington Palace Staff immediately, raise the alarm to other co-workers/contractors and move to a place of safety.

Call the emergency services on 999 - do not assume someone else will do it. Kensington Palace Security MUST be informed that emergency services have been called.

Only re-access the event site when you are told it is safe to do so.

During the Event Period

If you hear a fire alarm , radio call or loud hailer instructions to evacuate the event - leave the event area / building / marquee via the nearest safe exit (following the green signs)

The evacuation area /assembly point will be dependent on the nature and location of the incident. Please listen to any instructions from event security operatives and Kensington Palace staff.

DO NOT:

• Stop to collect personal belongings

• Re-enter the building/event space unless informed it is safe to do so by Security or the Venue Manager.

Security

Please be vigilant as regards security, not only for personal items such as tools, but also for equipment and client material, if you believe there is likely to be a breach of security please contact the Senior LLE Producer, Event Safety Advisor or speak with the nearest security operative.

Please ensure when entering or exiting the event sites that you close any barriers, doors or gates behind you to prevent unauthorised access from non-event personnel accessing the event site or building.

Please ensure you wear your event accreditation at ALL TIMES.

- Has it been concealed or hidden from view?

- Bombs are unlikely to be left in locations such as this where any unattended item will be noticed quickly.

Obviously Suspicious

- Does it have wires, circuit boards, batteries, tape or putty like subsance?

- Do you think it poses an immediate threat to life?

Typical

- Is the item typical of what you'd expect to find in this location?

- Most lost property is found in locations where people congregate.

Finally...

YOU are responsible for your works/working area, and in particular, ensuring that they do not harm others.

Follow your company’s risk assessments & method statements for the job that you are doing. Do not use or interfere with any equipment which you do not own and/or are not trained to use.

If you are not happy with the actions of others, or how it affects your workspace, or you do not feel comfortable undertaking a certain task, please raise it with your crew lead or the LLE Senior Producer.

Do not commence work onsite until you have been fully briefed by your Crew lead or the LLE Senior Producer.

This ensures we keep you and others safe whilst on our event sites.
