Site Opening Hours
The site opening hours for this event are 8 a.m. – 8 p.m. during set up days.
The site opening hours for Event Days are 8 a.m. – close.
Any deviation from these times must be agreed in advance with Love Trails.
Trader access is from 10 a.m. Monday 29 June.
You must be on site before 6 p.m. Wednesday 1 July, and power is available from Wednesday morning.
Your pitch must be ready for H&S inspection by 11:00 Thursday 2 July.
Site Traffic Rules
Site Speed Limit 10mph.
Observe any one way system or other traffic management system in place. Always follow the directions of traffic marshals / security.
When reversing a banksman must be used.
Where a beacon is not fitted, please use headlights NOT hazard lights.
All working arrivals come in via Red Gate. No vehicle movement is permitted in public or trading areas during the live event.
Parking
Please ONLY park your vehicles according to the vehicle pass you have been given.
Static (non-moving) vehicles are issued a Static Vehicle Pass. Vehicles needing to move during the event MUST have an Event Vehicle Pass(arranged in advance).
Security & Stewarding
Security will be on-site and we ask that you respect their reasonable requests to make sure your accreditation / access passes are viewable at all times.
Never leave cash, stock or your unit unattended. You are responsible for the security of your own pitch and takings.
Health & Safety
Love Trails intend to create a safe working environment for all contractors, suppliers, staff, traders and crew. We ask that if you
discover anything that you consider to be unsafe in and around your working
area, please report it to the Operations Manager or the Event Safety Advisor.
Follow your company’s risk assessments & method statements for the job that you are doing. Do not use or interfere with any equipment which you do not own and/or are not trained to use. Contractors are responsible for providing their own PPE, as identified in their risk assessments for each task.
You must wear your hi-vis jacket and appropriate footwear during event build/derig.
When working in high level noise areas, please use earplugs provided.
Fire Safety
Any use of fire, flame or heat-producing equipment must be declared in advance.
Each unit must carry appropriate, in-date firefighting equipment: a minimum of 2 fire extinguishers plus a fire blanket where applicable, with the correct extinguisher type for your risk (e.g. wet chemical for deep-fat frying).
Keep fire lanes and escape routes clear at all times. Report any fire or use of an extinguisher to Event Control immediately.
Gas / LPG
LPG and gas canister use must be declared and a gas safety certificate submitted to the Food Trader Manager.
All LPG must be stored safely and in accordance with HSE guidelines.
Food Safety & Hygiene
All food traders must hold a valid food hygiene certificate and a valid food hygiene rating from their local council, and be registered with their local authority.
All food handlers must hold a minimum Level 2 Food Hygiene qualification.
Certificates must be available for inspection on site at all times. Allergen information must be available to customers, and you must be ready for an Environmental Health inspection at any time.
Waste Management
A waste compound is available close to trader pitches. Please use the correct bins for general waste, recycling and food waste.
Do not dispose of waste oils or fats on site. These must be taken away with you. Failure to do so could result in a fine.
Manual Handling
Please use manual or mechanical aids where available. Ensure there are enough crew around to assist or that the load is reduced to a manageable weight – this may include unloading equipment before moving it.
Electricity
Power is available via generators which are distributed by the site electrical team. No contractor should connect to the supply without checking with either the Site Office or the Site Electrician.
PAT testing is required as standard for all electrical equipment, both smaller portable items (extension leads, adapters, plugs, lighting) and larger kit such as grills, fridges and extraction fans. Certificates must be available on site and will be checked before power is connected. Please also carry out a visual check before arrival to confirm no exposed wiring or signs of wear.
Ground Works
Contact the Site Manager before undertaking any work that requires putting anything in the ground – there may be cables you are not aware of.
Working at Height
All work at height must comply with the Working at Height Regulations 2005. The site team reserves the right to stop any work at height deemed unsafe.
Personal Welfare
Do not work whilst tired. Take sufficient breaks and make sure you remember to eat regularly and drink sufficient amounts.
Weather
Take extra care in inclement weather and wear appropriate clothing for the conditions.
All structures must be approved by Love Trails before arrival and must withstand exposed coastal conditions. Properly weight and anchor all pop-ups and frames in line with manufacturer guidance, and declare this in your RAMS.
Signage
Please take notice of all signage, it is there for your safety.
First Aid
Medical assistance is available at the onsite Medical Point. There are designated first aiders during the build and take down for this event - contact the Site Office in the first instance.
First aid kits can be found in the Site Office.
Please ensure that all accidents/near misses are reported to the Event Control / your supervisor immediately.
All contractors are required to provide their own first aiders.
The First Aid lead during build and breakdown is the Site Manager.
TrailMed medical cover is on site during the build from Wednesday 1 July (Wednesday and Thursday from 9 a.m.) and throughout the live event days.
Alcohol & Drugs
No alcohol should be consumed whilst you are are working during the official hours of the event.
Love Trails operate a zero tolerance on the use of illegal drugs.
Smoking
Please use the designated smoking area, which will be pointed out on arrival to accreditation.
Toilets
Toilets are located at various locations and back of house areas around the event site.
Dress Code
We understand that you have a physical job to do. However, we ask that no
ripped jeans/shorts are worn. On event days we ask that those with a customer facing role wear appropriate clothing / your company work wear.
