Thank you for being part of Love Trails Festival 2026.

The festival organisers are committed to promoting the highest possible levels of health, safety and wellbeing of all people working at or visiting the event.

Working safely, personal safety, care of the environment and being mindful of safety issues whilst working will lead to the avoidance or reduction of risks to the Health & Safety of all persons who may be affected by their work activities.

This induction covers a number of key areas for consideration and your personal and legal responsibilities whilst working with us.

All employees, contractors, freelancers and volunteers have a legal responsibility to co-operate with managers and to take reasonable care of themselves and others in order to assist us to maintain a healthy and safe workplace.

Working Safely

Site Safety is a team effort and it is not the responsibility of one person alone.

Our Event Site

Love Trails Festival takes place in the grounds of Weobley Castle, private farm land and the beautiful Gower Peninsula. We politely request that you respect the venue and surrounding land and follow any signs or one-way systems.

The venue may also be open to the public during the build and derig - please ensure that you close any gates to maintain our secure working area.

Please also remember that the festival's relationship with the local community is very important - please ensure that you respect their privacy whilst you are working onsite and do not enter any restricted areas.

Welfare

Toilets are available on site for all event staff

Handwash/sanitiser facilities are available within toilets

Water Stations are located around the site and at Crew Catering

Keep hydrated and please use re-useable water bottles to avoid single use plastic

Undercover Crew welfare areas are available for your use – please take care of it and keep it tidy

During periods of extreme heat or prolonged rain, take regular breaks and wear appropriate clothing, sun cream/hats, waterproofs

Working Areas and Housekeeping

All significant work operations should be undertaken in a secured work area, clear of non-essential personnel.

Multi Contractor environments – agree over access to different working areas and always keep access routes clear.

Clean as you go – we expect general good housekeeping from all contractors – don’t expect someone to clean up after you.

Help prevent slips, trips & falls.

Keep exits and walkways clear of obstructions.

Sustainability

We are committed to ensuring we reduce or offset our carbon footprint by minimising the environmental impact of our festival.

Please be mindful of your sustainability actions when working on the event.

Reuse, Reduce or Recycle - where possible

Smoking & Vaping

Smoking and/or vaping are ONLY permitted in designated areas.

Please ask where these are on arrival to site / your supervisor.

Drugs & Alcohol

We have have a ZERO tolerance of drugs and/or alcohol whilst working on site.

Personal Music Devices

When working on site please do NOT use ear buds /personal headsets with music or phone connected – your attention will be elsewhere and you put yourself and others in danger.

Keep your mind on your work – NO radios, personal stereos, mobile phones etc. If using a mobile phone, move away from the work area and remain static so you can see what is going on around you and you can be seen.

Manual Handling

Use mechanical means wherever possible.

Beware of ground conditions and the route you will be carrying the load on.

Do not try to lift any item if you are uncomfortable with the weight - remember the HSE guidance on maximum weight capacities.

Use gloves where required.

Moving Plant, MEWPS & Vehicles

Beware of vehicle movement onsite and always remain visible to the operator/driver.

All reversing and manoeuvring vehicles should have an approved banks man directing movement and monitoring for any hazards.

Do not use hazard lights when moving, use beacons and/or headlights.

The site speed limit is 10 mph. Anyone found to be exceeding the speed limit will be asked to take their vehicle off site and will not be permitted to drive on site for the remainder of the job. This applies to buggies onsite.

All MEWPS entering the immediate working area MUST have a banksman supervising all movements.

Any workers using MEWPS, or work that requires the use of a harness, must provide a task specific RAMS, together with a detailed Rescue Plan.

PLANT OPERATORS – we will take a photograph of your license for record purposes. Please carry it with you at all times.

Working at Height - Access Equipment

Working at Height is a HIGH-RISK work activity – ensure that you are fully aware of the Risk Assessment before Working at Height

Rigging or climbing hats MUST be worn when working at height – chin straps must be clipped

Access Towers must be built correctly by competent individuals with correct level of training (i.e., PASMA) and must include handrails, toe boards and outriggers. Handrails must be the correct height.

Harnesses MUST be worn and secured (clipped on) for anyone working on live edges or as per your risk assessment. Your risk assessment must confirm whether you are using fall restraint or fall arrest as part of your working at height safety.

Any live or leading edges must have adequate protection from falls. This should be detailed within your Company RAMS.

All access equipment MUST be checked before use and fit for purpose – if in doubt, ASK

Working at Height - Ladders

Ladders should only be used for short term (15 – 30min) tasks.

Always check for defaults, all ladders in use should be properly maintained.

Never stand above the top three rungs of the ladder or have a foot either side of the apex. Always face into the ladder, three points of contact and two feet on the ladder at all times.

Only one person should work on a ladder at a time, a second person to foot the ladder for you.

Place the ladder on a firm, stable surface which is of suitable strength to keep the rungs horizontal.

Medical Provisions

Love Trails Festival will supply a comprehensive First Aid kit, which will be located within Site Office.

The Site Manager and Operations Manager are the designated first aiders on site during the build and break. Contact Site / Production via radio who will get assistance more quickly to you.

For major accidents call 999 and the Site Manager as they will need to guide the ambulance onto the site.

During the live festival, TrailMed are located onsite at the Medical Point. Contact Event Control via radio on CH1 for assistance.

Please ensure you report as soon as possible, the following:

Nearest Hospital

The Nearest Hospital with 24-hour Accident & Emergency facilities is HMT Sancta Maria Hospital Lamberts Rd, Swansea SA1 8FD .

Event Control will also have details and will provide assistance.

Security

Please be vigilant as regards security, not only for your own personal items such as tools, but also for equipment and client material. If you believe there is likely to be / have seen a breach of security please contact the Head of Security / report to your supervisor.

Please ensure when entering or exiting the festival site that once you have passed through you close any doors or gates/barriers behind you to prevent members of the general public either accessing the event site or building.

Fire Safety

Familiarise yourself with the exits around your location / area of work and the Fire Fighting Equipment available.

Keep fire exits & fire exit routes clear at all times.

DO NOT block any site or stage access points and keep roadways / internal routes clear at all times.

Do not attempt to fight the fire yourself, fire extinguishers should only be used to aid escape.

Emergency Procedures

Discovering a Fire

If you discover or suspect an outbreak of fire - alert your co-workers and move yourself away to a place of safety

Report the location and description of the incident to your HOD or call Event Control via radio immediately.

Use a fire extinguisher to allow for a safe exit and only if you are trained in its use.

General Health, Security & Safety

Should you at any time have a safety concern, please alert your HOD or contact Event Control.

If someone does not feel well, or you or somebody has an accident, please alert you HOD or contact Event Control.

If a security incident is unfolding within the event area (e.g. arena, campsite, car parks, queuing lanes, production areas) security will lock down the area and direct everyone away from the risk.

Please listen to all instructions from Event Control / Security and Stewards.

Emergency Procedures

Evacuation

If you are advised to evacuate your area;

• Leave your location via the nearest safe exit or route

• Follow any instructions from security/stewards or via the PA

• Make your way to the Assembly Point - this is the Production Car Park unless advised otherwise .

• Make yourself known to your HOD / the Site / Operations Manager and inform them if you have anyone missing (this is at the Assembly Point).

DO NOT:

Suspect Package - HOT

Please recognise that we are all experts in our workplace, and we are ideally placed to spot when something is amiss.

In this period of heightened alert, it is vital to remain vigilant, trust your instincts and report any suspicious behaviour to your Line Manager or the production team immediately.

Hidden

- Has it been concealed or hidden from view?

- Bombs are unlikely to be left in locations such as this where any unattended item will be noticed quickly.

Obviously Suspicious

- Does it have wires, circuit boards, batteries, tape or putty like subsance?

- Do you think it poses an immediate threat to life?

Typical

- Is the item typical of what you'd expect to find in this location?

- Most lost property is found in locations where people congregate.

Finally...

YOU are responsible for your works/working area, and in particular, ensuring that they do not harm others.

If you are not happy with the actions of others, or how it affects your workspace, raise it with your HOD or the Event Director.

Do not commence work onsite until you have been fully briefed by the Site / Operations Manager.

This ensures we keep you and others safe whilst on our site.
