Thank you for being part of the NYX Launderette at The Stables Covent Garden.

As the event organisers, EMYP Studios are committed promoting the highest possible levels of health, safety and wellbeing of all people working at or visiting the event.

Working safely, personal safety, care of the environment and being mindful of safety issues whilst working will lead to the reduction of risks to the Health & Safety of all persons who may be affected by their work activities.

This induction covers a number of key areas for consideration and your personal legal responsibilities whilst working with us.

Working Safely

Site Safety is a team effort and it is not the responsibility of one person alone.

All employees, contractors and invitees have a legal responsibility to co-operate with managers and to take reasonable care of themselves and others in order to assist us to maintain a healthy and safe workplace.

You will be required to sign as having read and understood this H&S induction – if in doubt ASK.

Event Venue

The Stables Covent Garden is a purpose built gallery & event venue, spanning two floors and a private Courtyard. The event takes place on the ground-floor Gallery; production and crew welfare is the Lower Gallery basement .

Access to the venue is via Earlham St (for the Courtyard) or via Shelton St for small loads.

Please ensure that all working areas are kept secure and not accessible by non-event related staff / public at all times.

Personal Protective Equipment (PPE)

PPE is to be worn whilst in work areas on site.

Additional Task Specific PPE may be required as per your Risk Assessment.

Working Areas

All significant work operations should be undertaken in a secured work area, clear of non-essential personnel.
When working with other suppliers – ensure agreement is reached over access to different working areas and always keep access routes clear.
Clean as you go – we expect general good housekeeping from all contractors to avoid unnecessary trip/fire hazards – don’t expect someone to clean up after you.

Storage

There is very limited storage space onsite. Contractor’s material’s, equipment and flight cases during the get-in and get-out phases of the of the build & de-rig will be provided within pre allocated areas as agreed with the Senior Producer.

Smoking & Vaping

Smoking and/or vaping are ONLY permitted in the designated areas - please ask where this is located.

Do not smoke or vape when driving plant / vehicles on the event site.

Personal Music Devices

When working on site please do NOT use earbuds / personal headsets with music or phone connected – your attention will be elsewhere and you put yourself and others in danger.

If you need to use a mobile phone, move away from the work area and remain static so you can see what is going on around you and you can be seen.

Drugs & Alcohol

We have have a ZERO tolerance of drugs and/or alcohol whilst working on site.

Moving Vehicles

Beware of vehicle movement in the Courtyard and always remain visible to the operator/driver.

All reversing and manoeuvring vehicles should have an approved banks man directing movement and monitoring for any hazards.

DO NOT use hazard lights when moving, use beacons and/or headlights.

Please be respectful to nearby residents when loading/off-loading at the Shelton St entrance and be aware of pedestrians at all times.

Working at Height

Working at Height is a HIGH-RISK work activity – ensure that you are fully aware of the Risk Assessment before Working at Height.
If your job requires you to work at height, you must protect your work space so that it cannot harm others.
Rigging or climbing hats MUST be worn when working at height – chin straps must be clipped.
Hard Hat areas will be installed where required and signed as appropriate.
All access equipment MUST be checked before use and fit for purpose – if in doubt, ASK.

Working at Height - Ladders

Ladders should only be used for short term work - (15 – 30min) tasks.
Ensure a ladder is the correct piece of access equipment for your job.
Always check for defaults, all ladders in use should be properly maintained.
Never stand above the second from top rung, or have a foot either side of the apex. Always face into the ladder, three points of contact and two feet on the ladder at all times.
Never work outside of your reach when using a ladder.
Only one person should work on a ladder at a time, a second person to foot the ladder for you.
Place the ladder on a firm, stable surface which is of suitable strength to keep the rungs horizontal

Fire Safety

Familiarise yourself with the exits around the venue and the Fire Fighting Equipment available.

Keep designated fire exits clear at all times.

DO NOT block any stair access points and keep back of house areas and pedestrian routes clear at all times.

Do not attempt to fight the fire yourself, fire extinguishers should only be used to aid escape.

Reporting of Incidents, Near Misses, Dangerous Occurrences etc.

Accident = An unplanned event that causes harm

Near Miss = An unplanned event that could have caused harm

To help us stay safe on-site and learn for the future please report any:

• Accidents

• Incidents

• Near-misses (no matter how trivial it may seem)

• Dangerous occurrences

• Unsafe practices or conditions you have witnessed on-site.

These must be reported to the Senior Producer Clare Abbott as soon as it is safely possible to do so.

They will investigate these incidences and may ask you for more details for their report.

First Aid Arrangements

The First Aid Kit is held at the Production Office located in the Lower Gallery.

BUILD & BREAK PERIODS

The venue will provide a designated first aider during the build & break period. All contractors should also have a dedicated First Aider within their team. If you or a colleague need medical assistance, contact your crew lead or the Venue Duty Manager in the first instance who will get assistance more quickly to you.

LIVE EVENT PERIODS

All venue security and the fire warden are medically trained. If you, a colleague or a guest need medical assistance, contact venue security in the first instance who will get assistance more quickly to you.

For medical emergencies call 999 and also advise the Venue Duty Manager who will guide the emergency services into the venue.

Any and all incidents/accidents that take place at the event must be reported to Clare Abbott (Senior Producer).

If an accident occurs that results in personal injury or property damage, the service provider must immediately contact Clare Abbott.

Nearest Hospital

The Nearest Hospital with 24 hr Accident and Emergency is:

University College London Hospital, 136 Gower Pl, London WC1E 6BN.

This 1.2 miles / 13-16 minutes from The Stables.

The designated blue route for emergency vehicles is Earlham Street.

Welfare

There are welfare facilities in the venue available to all event staff, contractors and local crew; these include:

• Toilet facilities with handwashing

• Rest area with kettle

• Access to drinking water

• Crew catering is the responsibility of each contractor unless already discussed with the Senior Producer.

• Seven Dials Food Market is directly opposite the venue entrance on Earlham St.

Please take measures to look after your own, and everyone else's welfare whilst on site.

Keep hydrated – drink plenty of water; please use re-useable water bottles to avoid single use plastic.

Event Site Opening Hours

The venue opening hours for this event build are 8 a.m. – 10 p.m. during build and 5.30pm - 10pm on derig day.

Event site opening hours for the live event days are 8 a.m. – close. Any deviation from these times must be agreed in advance with Clare Abbott - Senior Producer.

Site Parking

There is NO parking onsite or on Earlham /Shelton Streets. Commercial Parking is available at Urban Parking on Shelton St.

Security

We ask that you respect Venue Security and any reasonable requests at all times - e.g. to see accreditation / know who you are and what you are doing.

Personal Protective Equipment

Contractors are responsible for providing their own PPE, as identified in their risk assessments for each task.

Wear task appropriate closed-toe footwear; hi-vis jackets are required if you are working around vehicles.

If working in high level noise areas, please use ear protection as required.

Manual Handling

Please use manual or mechanical aids (trolleys, pump trucks) where available. Ensure the load is reduced to a manageable weight – this may include unloading equipment before moving it.

Personal Welfare

Drinking water is available in the Lower Gallery - make sure you stay hydrated. Take sufficient breaks and make sure you remember to eat regularly. Do not operate any machinery if you are overtired.

Toilets

Toilets are located in the Lower Gallery. Please use the handwash/sanitiser facilities installed.

Signage

Please take notice of all signage, it is there for your safety.

Alcohol & Drugs

No alcohol should be consumed during the official hours of the event. EMPY Studios operate a zero tolerance policy on the use of illegal drugs. If found using drugs / intoxicated while working you will be asked to stop work immediately and leave the venue.

Smoking

Please use the designated smoking area, which will be pointed out to you onsite. This includes vaping.

First Aid

Medical assistance is available via the Venue. All security on duty are medially trained and will help in the first instance.

First Aid kit can be found in the Production Office (Lower Gallery).

Please ensure that all accidents/near misses are reported to the Clare Abbott - Senior Producer immediately.

All contractors are required to provide their own first aiders within their team.

Security

Please be vigilant as regards security, not only for personal items such as tools, but also for equipment and client material, if you believe there is likely to be a breach of security please speak with the nearest security operative and/or contact the Senior Producer.

Please ensure when entering or exiting the venue that you close any doors or barriers behind you to prevent unauthorised access from non-event personnel accessing the event site or building.

Please ensure you wear your event accreditation at ALL TIMES.

Emergency / Evacuation

If you hear the fire alarm , a radio call or verbal instructions to evacuate the event - leave your location via the nearest safe exit route.

Make your way to

the designated assembly point for the venue - SEVEN DIALS ROUDABOUT

- some 100-150m from either Earlham or Shelton St exits - and wait there for further instructions.

If you see an incident or emergency, contact the Venue Security or Duty Manager immediately, raise the alarm to other co-workers/contractors and move to a place of safety.

Call the emergency services on 999 - do not assume someone else will do it. The Venue Duty Manager MUST be informed that emergency services have been called.

DO NOT:

• Stop to collect personal belongings

• Re-enter the building unless informed it is safe to do so by Security or the Venue Duty Manager.

- Has it been concealed or hidden from view?

- Bombs are unlikely to be left in locations such as this where any unattended item will be noticed quickly.

Obviously Suspicious

- Does it have wires, circuit boards, batteries, tape or putty like subsance?

- Do you think it poses an immediate threat to life?

Typical

- Is the item typical of what you'd expect to find in this location?

- Most lost property is found in locations where people congregate.

Run, Hide, Tell

If you see or hear of any situation involving a vehicle bourne or marauding knife or biological attack - immediately

YOU are responsible for your works/working area, and in particular, ensuring that they do not harm others.

If you are not happy with the actions of others, or how it affects your workspace, or you do not feel comfortable undertaking a certain task, please raise it with your event lead / HOD or the Senior Producer.

Do not commence work onsite until you have been fully briefed by your event lead / HOD.

This ensures we keep you and others safe whilst on our event sites.
